The Embassy of Switzerland in Bosnia and Herzegovina is looking for an - Assistant to the Director of Cooperation/DoC (50% part-time)

Responsibilities and duties

The Assistant to the DoC

  • provides administrative, management and secretarial support of the highest quality to the DoC

  • screens incoming correspondence and telephone calls and directs them to the right person in charge; arranges internal and external meetings for the DoC

  • manages the agenda of the DoC with an understanding of business priorities

  • manages the international and local correspondence of the DoC with BiH and Swiss authorities, international organisations, civil society organisations and the private sector

  • maintains a database of important contacts

  • arranges logistics for missions, internal workshops and external events related to the Swiss Cooperation Program in BiH

  • takes minutes of meetings

  • translates documents, if required

  • supports the DoC in her daily work

Qualifications

  • Commercial education or Bachelor's degree or equivalent

  • Outstanding knowledge in B/C/S, English, German, both written and oral; knowledge of French is an asset

  • Proficient computer skills: MS Office, Outlook, PowerPoint, Excel

  • At least 5 years of practical work experience related to administration, organisation and written correspondence

  • Excellent organizational and time management skills, including the ability to meet deadlines

  • Ability to perform tasks with a high degree of accuracy and efficiency

  • Strong multi-tasking skills and a high degree of flexibility

  • Strong interpersonal, communication and team work skills

  • Demonstrates respect for all individuals at all times

  • Ability to exercise judgment in managing confidential or sensitive information

Start and duration of the engagement

The engagement will start on 1 September 2018. The selected candidate will be awarded a one-year contract with the possibility of extension.
